Medical certificates over WhatsApp

Medical certificates over WhatsApp without overloading reception

Certificates and attestations are one of the most repetitive flows in a clinic. Every request passes through multiple hands: reception searches, the doctor validates, reception delivers. With Kura, the patient asks for the certificate over WhatsApp, the system verifies that the visit happened, routes it to the right doctor or professional and delivers the document when ready. Full audit trail and zero calls just to request it.

Direct request from chat

The patient requests their certificate on WhatsApp by specifying the date or visit. No forms, no calls.

Automatic verification

The system checks that the visit existed in the calendar and routes the request to the right professional or admin area.

Tracked delivery

Every certificate is logged with timestamp, reason and signer. Full audit trail by default.

Templates tailored to your clinic

Visit certificate, attendance attestation, unfitness-for-work report. Formats are configured during rollout.

Why certificates overload reception

A certificate looks trivial but involves finding the visit in the calendar, identifying the professional who attended, generating the document, validating the content and delivering it. For a clinic with 200 visits a week, accumulated requests add up to hours of team time. And these are calls that add no differential value: they only confirm something that already happened.

Automated flow from request to delivery

When a patient asks for a certificate, the agent recognises the intent, looks up the visit in the calendar and routes the request to the professional or admin area according to clinic policy.

  • The patient specifies date or doctor over WhatsApp.
  • The system verifies the visit in the PMS or calendar.
  • The certificate is generated from the template configured for your clinic.
  • The professional validates or signs from an internal inbox if needed.
  • The document is delivered to the patient over WhatsApp with full audit trail.

Types of certificate and attestation covered

Templates are defined together with the clinic during rollout. The most common flows include visit attendance certificates, attestation for employers or schools, unfitness-for-work reports, fitness certificates for sport or other activities, and specialty-specific reports. Each template can carry its own signature and validation rules.

Sensitive cases: when a human steps in

Not every certificate is automatic. When the document requires the professional's signature, clinical assessment or additional information, the flow enters the doctor's inbox with a context summary. The patient receives a notice that the certificate is in progress and an estimated delivery date.

Audit trail, signature and regulatory compliance

Every certificate is linked to the patient, the doctor, the original visit and the moment of issue. The signature can be handwritten, scanned or electronic depending on the document and the regulation. Data is processed on European Union infrastructure, with data processor agreement and role-based permissions.

Related use case: pre-procedure preparation

The same flow applies to the automatic delivery of preparation information for procedures that require a protocol, like colonoscopies, contrast MRI or fasting bloodwork. The agent sends the right information at the right time, captures the patient's read receipt and resends a reminder if necessary.

Use cases by specialty

Operations change with the type of clinic. These are the flows with the biggest impact for each profile.

Dental clinics

Recall reminders, treatment confirmations, treatment plans signed over chat, and recovery of patients who never finished their plan.

Aesthetic medicine

Lead capture from ads, prequalification, follow-up session scheduling, and seasonal package promotion.

Physiotherapy and rehabilitation

Multi-session series, daily reminders when needed, exercise follow-up, and clean closure when the patient finishes.

Veterinary

Vaccination notices, recall reminders, pet pick-ups, and proactive messages when the next dose is due.

Psychology and mental health

Discreet confirmations, cancellations with notice, between-session follow-up, and routing to the professional when needed.

Multispecialty medical centres

Routing by specialty, location and priority. Every conversation lands at the right team without passing through reception three times.

Frequently asked questions

Does the certificate carry the doctor's signature?

It depends on the document type and the clinic's policy. Some administrative certificates can be issued with a preconfigured generic signature. Others require validation or handwritten signature from the professional. It is configured case by case during rollout.

Does it cover sick-leave notes?

Official public-system sick-leave notes are not generated from Kura, but private visit certificates and fitness attestations that clinics issue every day are. Templates adapt to local regulation.

What if a patient asks for a certificate for a visit that did not happen?

The system detects it, informs the patient and, if they insist, escalates the case to reception for resolution. The system only issues documents for visits confirmed in the PMS.

How many template formats can we have?

No limit. Each clinic defines the formats it needs, with specific fields by specialty, site or visit type.

Can the certificate also be issued on paper?

Yes. The system keeps the paper flow when the patient prefers it or regulation requires it, in addition to digital delivery over WhatsApp.

Is it GDPR compliant?

Yes. Data on European Union infrastructure, access logs, role and site-based permissions and full audit trail of every issued document.
